BOOKKEEPING AND ACCOUNTING SERVICES
IPMW is seeking proposals from seasoned individuals who have a strong background in non-profit accounting to provide bookkeeping and accounting services.

BACKGROUND
IPMW is a unique organization operating at the nexus of prison chaplaincy, women’s issues, and social justice. The organization celebrated its 40th anniversary in 2020 and is poised for growth with significant new opportunities ahead. In addition to our long history providing psycho-spiritual nourishment inside the prison, a new reentry project provides comprehensive and holistic wraparound services for formerly incarcerated women, including housing and access to education and employment opportunities. All our work is offered in community using a trauma-informed and evidence-based lens.
SCOPE
The Bookkeeper will support the organization in optimizing financial transactions and systems while being responsible for the day-to-day financial transactions and monthly payroll. This is a contract position that reports to the Operations Director and works closely with the organization’s Office Manager and Contract CFO.
Accounting records are maintained in QuickBooks Online and are current and fully reconciled. Monthly balance sheet reconciliations will be performed by the CFO.

Bookkeeping services: Utilize information provided by IPMW staff to:
- Record invoices and pay bills, including employee expense reports, while ensuring that proper documentation and authorization is provided.
- Record receipts of cash and noncash donations.
- Monitor release of restricted funds.
- Perform steps to ‘match’ banking transactions in QuickBooks online.
- Assist with maintaining vendor files, cash receipts, and other supporting documentation in an organized and systematic manner in IPMW’s Google Drive.
- Conduct month end review of financial data for accuracy.
- Perform relevant functional allocations of personnel and other expenses.
Payroll services
- Prepare, review, and submit monthly payroll for 8-10 employees via outsourced payroll provider.
- Track payments and benefits for employees.
Financial reporting
- Prepare monthly financial statements including statement of activity, budget to actual reports, statement of financial position, general ledger detail reports, etc.
- Prepare monthly reporting on restricted fund balances.
Tax/Compliance
- Assist with filing semi-annual sales tax refunds.
- Assist with annual filing of charitable solicitation registration.
Support
- Provide guidance/assistance with automating process such as accounts payable, employee expense report processing, and payroll.
- Must possess a solid understanding of accounting for:
- Noncash transactions.
- Fundraising event revenue and expense.
- Restricted funds.
- Functional expense allocations, including allocation of personnel related expenses.
